Privacy Policy

This policy explains how ZELQ Limited collects and uses personal information, and the rights you have under UK data protection law.

1. Who we are

ZELQ Financial Operations is a trading name of ZELQ Limited, company number 17186707, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.

2. Our role

  • Controller: for information about website visitors, people who contact us, our clients' staff and businesses we contact about our services, ZELQ Limited decides how the information is used.
  • Processor: when we work overdue accounts for a client, we handle information about that client's customers only on the client's instructions. The client is responsible for that information, and its own privacy notice also applies.

3. Information we may collect

  • Enquiries: the details you give us through our website form, by email or by phone, such as your name, company, email address, phone number, the approximate value of your overdue invoices and your message.
  • Clients: contact details of the people we work with, purchase and billing records, and the documents you provide, such as your Letter of Authority and aged debtors report.
  • Payments: card payments are taken by Stripe on its own secure checkout. We receive confirmation of payment and billing contact details. We do not see or store full card numbers.
  • Our clients' customers: business contact details of accounts staff, invoice and payment information, and notes of our communications about payment.
  • Business prospects: business contact details of people at companies we believe may benefit from our service, which may come from public sources such as Companies House and company websites.
  • Calls: calls with ZELQ may be recorded for quality, training and record-keeping purposes.

4. Why we use it, and our lawful bases

  • Responding to enquiries: our legitimate interests in replying to people who contact us.
  • Providing a pilot or other service you have bought: to perform our contract with you, or to take steps at your request before entering into one.
  • Working overdue accounts for a client: on the client's instructions.
  • Contacting businesses about our services: our legitimate interests in promoting our services to other businesses, in line with the rules on electronic and telephone marketing. You can ask us to stop at any time.
  • Recording calls: our legitimate interests in quality, training and keeping an accurate record.
  • Keeping business records and meeting legal duties: legal obligation.
  • Protecting our business, for example in a dispute: our legitimate interests.

We do not sell personal information.

5. Who we share it with

We share personal information only where needed, with:

  • service providers who help us run the business, such as website hosting, email and IT, payments, telephone and scheduling providers
  • members of our team and contractors who need it to do their work, under a duty of confidentiality
  • our professional advisers, such as accountants and lawyers
  • the client whose accounts we are working, where the information relates to that work
  • regulators, law enforcement or others where the law requires it

6. Transfers outside the UK

Some of our service providers and team members may be located outside the UK. Where personal information is transferred outside the UK, we will make sure it is protected as required by UK data protection law.

7. How long we keep it

We keep personal information only for as long as we need it for the purposes above, including to meet legal, accounting and tax requirements and to deal with any dispute. When it is no longer needed, we delete it or make it anonymous. Information about a client's customers is returned or deleted at the end of the engagement, in line with the client's instructions, unless we need to keep something to meet a legal obligation or settle fees or a dispute.

8. How we protect it

We take appropriate technical and organisational measures to protect personal data, and access is limited to people who need it.

9. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete it, or to restrict how we use it
  • object to our use of it, including for marketing, which we will always stop on request
  • ask us to transfer it to another organisation, where this applies

To use any of these rights, email contact@zelq.co.uk. We will respond within the time allowed by law, normally one month. If your request relates to information we hold for a client, we may pass it to that client, as it is responsible for that information.

10. Complaints

If you are unhappy with how we have handled your personal information, please contact us first at contact@zelq.co.uk and we will try to put it right.
